Administrative Coordinator (Associate Provost of Academic Affairs)

Reporting directly to the Associate Provost, the Administrative Coordinator supports the administrative processes in the Office of the Associate Provost and the Dean of Graduate Studies. Along with the CUNY Title Overview, the Administrative Coordinator performs the following duties:
Manage the day-to-day office workflow and scheduling for the department.
Assist with the monitoring of the departmental budget.
Train and supervise part-time staff for the department.
Monitor and oversee all personnel matters (e.g. reappointments, annual reviews, ePAFs) for the department.
Plan and coordinate meetings and events, including those with VIPs and dignitaries
Maintain and update systems of records that various departmental functions such as: curriculum changes, agenda for the Graduate Council Committee (GCC).
Working with Communications, monitor and update the annually published Graduate Bulletin.
Prepare communication as needed for graduate students, graduate faculty, or graduate program directors.
Provide general degree requirement information to graduate students and maintain records of all decisions and updates
Collect and update information on faculty research on department web page and spreadsheet.
Bachelor's Degree required.
Two years? experience in office management in higher education.
Demonstrated proficiency with Microsoft Office and Oracle software (in particular, with CUNY First).
Excellent written and verbal communication skills
Supports projects, initiatives, and activities that impact an academic or administrative department.
Manages basic office functions such as communications, meeting schedules, work plans, staff assignments, and distributing information.
Collects data for, prepares, and distributes reports and presentations using word processing, spreadsheet, and presentation software.
Updates office databases, lists, and files to ensure completeness and accuracy; maintains current information on department web site(s); maintains department archives and collections.
Conducts internet and/or database research and performs basic systems queries to locate information related to department activities.
Maintains department fiscal plans and budgets; assists in budget administration and invoice processing.
Provides basic information, instructions, and materials as requested by students, faculty, and others who contact the department.
May supervise office staff and student workers.
Performs related duties as assigned.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster.
